Chief Architect Project Handoff Checklist

Quick answer

Before handing off a residential project, verify file versions, exported drawings, linked assets, notes, and the intended use of every deliverable.

Prepare plans, PDFs, 3D views, and supporting files for a reliable client or contractor handoff.

Define the deliverable list

Ask the recipient which outputs they can actually open and what decisions they need to make. PDFs are useful for review; model files and exchange formats require compatibility checks.

Freeze a clear issue version

Make a dated copy and record its purpose, such as preliminary review or construction coordination. Avoid a folder of nearly identical “final” files without a documented current revision.

Check exported documents independently

Open the PDF outside the authoring program. Review missing fonts, cropped linework, page sizes, image clarity, and drawing scale where applicable.

Audit exchange-format limitations

When providing DWG or another exchange format, verify layers, dimensions, units, and linework in the receiving application when possible. Do not assume all 3D or annotation data translates exactly.

Document unresolved items

Provide a concise issue log with open selections, coordination questions, and approval responsibilities. A clean export should never hide unresolved design or code decisions.

Practical final checklist

  • Save a dated backup or review copy before changing an active project.
  • Check information against the relevant current software documentation and local project requirements.
  • Test changes on a representative file, then inspect the resulting drawings and exports.
  • Record unresolved questions and obtain qualified professional review when the deliverable requires it.
